Administrative Assistant: Public Works (Full-Time)

The City of Blue Island is seeking a Full-Time Administrative Assistant for the City’s Public Works Department.

The successful candidate will provide administrative assistance to the Superintendent of Public Works. Performs clerical and administrative functions such as, scheduling appointments, organizing and maintaining files and providing information to callers. Privy to confidential information and reports. Work schedule is typically Monday thru Friday, 7:00 a.m. to 3:30 p.m. However, hours may vary based on departmental and seasonal needs.

Key Responsibilities and Duties:
• Attends various meetings with the Superintendent and provides administrative support as required.
• Answers all incoming telephone inquiries and ensures follow up to citizen’s issues.
• Establishes and maintains relationships with residents and various companies doing business with the City including the contracted waste hauler and other municipalities for incoming and outgoing support.
• Handles all purchase order requests and maintains an inventory of equipment and supplies for the Department. Ensures all office equipment is maintained and working properly.
• Develops and maintains the Public Works Department data base system for tracking signage, hardware, street lighting and forestry work.
• Oversees the City’s fuel system, programming all key cards to track usage and order fuel as needed.
• Communicates daily with company responsible for picking up trash, recycling and yard waste to resolve complaints as they arise.
• Acts as liaison between the City and outside companies to handle problems relating to Public Works issues as needed.
• Responsible for the scheduling and timekeeping for the Community Service Program.
• Other duties as assigned.

Knowledge, Skills and Abilities:
• A high level of accuracy and proficiency in the use of personal computers and software programs required of the position.
• Thorough knowledge of principles and practices relating to purchasing.
• Good interpersonal relations skills. Ability to be tactful and exercise diplomacy in a wide range of diverse situations.
• Ability to communicate both verbally and in written form.
• Ability to work under pressure, attention to details and highly organized.
• Ability to work without close supervision.

Education:
High School Diploma or GED Certificate plus one (1) year experience in an administrative assistant/secretarial position. Graduation from an accredited college or university with a Bachelor’s Degree is preferred.

Compensation:
$15.00 to $19.00/hour DOQE
