Full-Time Administrative Assistant – Building Department

The City of Blue Island is seeking a Full-Time Administrative Assistant for the City’s Building Department, which includes the Building Safety, Code Enforcement, and Health Office.

The successful candidate will provide administrative assistance to the Building Official, including performing clerical and administrative functions such as, drafting correspondence, scheduling appointments, organizing and maintaining files and providing information to the public and staff.

Duties and Responsibilities:
• Assists all customers in-person and via telephone;
• Responds to inquiries from staff and the general public;
• Reviews all licenses and permit requests to ensure they are properly completed before approval;
• Records and files all permits after they have been approved;
• Assures all fees and penalties are charged according to current fee schedules;
• Schedules all appointments for inspections;
• Assists with vacant property registrations and inspections;
• Assists all realtors and attorneys with requirements of transfer of property; and
• Other duties as assigned.

Knowledge, Skills and Abilities:
• A high level of accuracy and proficiency in the use of personal computers and software programs;
• Excellent customer service skills;
• Excellent written and oral communication skills;
• Ability to effectively manage multiple projects simultaneously; and
• Ability to work both individually and as a team.

Education:
High School Diploma or equivalent. Graduation from an accredited college or university with a Bachelor’s Degree is preferred.

Physical Demands:
Required to sit in front of the computer for long periods of time.
Environment and Scheduling:
Work is performed in the office during business hours, Monday through Friday from 7:30 a.m. to 4:00 p.m. Must be flexible and work additional hours when necessary.

Compensation:
$15.00 to $19.00/hour DOQE
